Brief summary of purpose:

The Talent Management Coordinator is responsible for supporting the employment life cycle of all employees, including the onboarding of new hires; ensuring new hire paperwork is completed and working with managers and employees to ensure a seamless onboarding process, while administratively supporting new hire programs including New Hire Orientation, New Leaders Orientation, and assigning required coursework in the University. Responsibilities also include providing administrative assistance to Human Resources functional areas including Employee Relations, Talent Management and Training/ Organizational Development as outlined below.



  • Partner with recruitment to ensure new hire checklist is complete and all required information is in the file, including current licensure when required, satisfactory criminal background checks, OIG and other required items.
  • Ensures proper completion and filing of Form I-9.
  • Responsible for employee badges, including photos, creation of the badge and working with IT to ensure proper access is granted.

 HR Compliance

  • Maintains up-to-date office files and storage.
  • Organizes employee files and closes files upon employee’s departure from the organization. Updates all employee files as names change.
  • Ensures licensure/certifications are current, collected and documented in accordance with established protocols.
  • Assists with updating the HR compliance postings.

 Employee Relations:

  • Provides administrative support to the ER team and HR Business Partners.
  • Develops and maintains reporting tools to analyze trends.
  • Completes Unemployment Claims as requested.

 Reward and Recognition

  • Provides administrative support to the high five, ovation awards and learning points program.
  • Coordinates anniversary and retirement program, including letters and gifts.

Talent Management

  • Assists Training Consultants in maintaining the LMS and electronic records in accordance with internal procedures.
  • Enters training data pre and post program.
  • Acts as backup for LMS administration support.
  • Participates in process improvements, researches and recommendations solutions to increase service levels.
  • Develops communications as needed for various training programs and events.
  • Works closely with the team during course development to create the workflow processes to be followed in new course coordination including; vendor and internally developed course material sources, facility requirements, pre-work packages, audiovisual equipment, projection equipment, classroom materials, and aids.

 General Administrative

  • Develops ad hoc reports when necessary.
  • Responsible for office supply inventory, reorganizing, and stocking department.
  • Assists with miscellaneous projects



High school diploma required, bachelors’ degree preferred



3-5 years administrative experience, preferably in Human Resources. Proficiency in Microsoft office suite required.
